Wales Pension Partnership is establishing a new FCA-regulated investment management company to serve the eight Welsh Local Government Pension Scheme funds, managing over £25 billion in assets for 412,000 members. This represents a transformational opportunity to create a centre of excellence in LGPS investment management in Wales, contributing to a UK-wide ambition to build a world-class local government pension system, and delivering value to scheme members while supporting local economic growth and communities across Wales and the UK.

WPP IM Co will launch in 2026 as a professionally staffed investment manager of around 30 people, headquartered in Wales and operating to the standards expected of leading global institutions. It will combine scale, rigour and resilience with a uniquely Welsh purpose – building long-term value for members while mobilising capital for the wider benefit of society.

The company’s strategy is to build on the success of the Wales Pension Partnership, expanding its investment and advisory capabilities within Wales and developing new opportunities for responsible and local investment. Over time, WPP IM Co aims to unlock wider economic, social and environmental benefits – supporting clean energy, affordable housing, innovation and the creation of high-quality financial sector jobs – demonstrating how long-term pension capital can serve both members and the communities they live in. The Role

We’re looking for an exceptional Executive Assistant & Office Manager to be at the heart of this new organisation, working directly with the CEO and helping shape the rhythm, culture and professionalism of WPP IM Co from day one.

This is not a traditional diary-and-travel role. It’s a position for someone who wants to be trusted, embedded and influential, a partner who brings structure, foresight and polish to a fast-moving, high-impact environment.

You’ll provide first-class executive support to the CEO while ensuring the smooth running of our Cardiff headquarters, creating a workplace that reflects the organisation’s ambition, integrity and pride in its Welsh identity.

Main Responsibilities

Executive Support

  • Partner closely with the CEO, providing seamless and trusted executive support, managing priorities, communication and time with sharp judgement and complete discretion. You’ll be the right hand who keeps things moving and makes sure the CEO can focus where it matters most.
  • Be the first point of contact for everyone engaging with the CEO, from internal teams to senior stakeholders, government officials and investment partners. You’ll handle every interaction with warmth, professionalism and confidence, setting the tone for the organisation.
  • Own the rhythm of the CEO’s week by preparing concise briefings, materials and smart follow-ups that turn meetings into momentum. You’ll make sure every conversation translates into clear action and progress.
  • Lead the coordination of high-profile meetings, from Board and Committee sessions to FCA and Government engagements — ensuring every detail is thought through, from agendas and materials to logistics and follow-up.
  • Guard the integrity of confidential information, maintaining impeccable records and governance documentation. You’ll be trusted with sensitive material and relied upon to keep things organised, accurate and secure.
  • Curate and coordinate travel and events for the CEO and key visitors, creating experiences that reflect the professionalism and purpose of WPP IM Co. From investor meetings to ministerial visits, you’ll make sure everything runs flawlessly.

Office Management

  • Take full ownership of WPP IM Co’s Cardiff headquarters, shaping a workplace that reflects the company’s ambition and Welsh identity. You’ll make sure it runs seamlessly, looks impeccable, and feels like a space people are proud to walk into.
  • Oversee facilities, suppliers and budgets with a mix of precision and initiative, managing the practical details while spotting opportunities to improve systems, experiences and efficiency.
  • Champion safety, security and compliance, ensuring all procedures are in place, understood and upheld. You’ll be the person who keeps the office running smoothly and safely.
  • Lead the orchestration of in-person moments that matter, from stakeholder meetings to workshops and events. You’ll set the tone, manage the logistics and make sure every visitor leaves with a lasting impression of professionalism and purpose.
  • Be the face and first impression of WPP IM Co, welcoming everyone from government officials to investment partners with warmth, confidence and polish. You’ll create an atmosphere that quietly communicates excellence in every detail.

Person Specification

Skills and Experience

  • Track record of senior-level partnership: you’ve supported a CEO, Chair or equivalent in a complex, high-profile environment — not just managing their schedule, but helping them operate at their best.
  • Exceptionally organised and proactive: you think three steps ahead, stay calm under pressure, and bring clarity to competing priorities. You’re the person who spots what’s needed before anyone has to ask.
  • Confident and credible communicator: you build trust quickly with senior stakeholders, government officials and partners knowing when to represent, when to listen, and how to make every interaction count.
  • Trusted guardian of confidentiality: discretion is second nature to you. You handle sensitive information with professionalism, care and integrity.
  • Commercially and operationally sharp: you’re comfortable managing budgets, contracts and suppliers, making smart, pragmatic decisions that keep everything running smoothly.
  • Digitally fluent: you use Microsoft 365 and collaboration tools (Teams, SharePoint, OneDrive) with ease to streamline processes and keep the business connected.
  • Hands-on operator: you’ve run or shaped an office environment before and enjoy taking ownership of spaces that reflect high standards and culture.
